PortfolioData Export/Import

You can export and import data entered by students or advisers in CSV files for any data items defined in the portfolio (e.g., user profile information, certifications obtained, TOEIC scores, etc.).

To export/import data, you must have 「Give advices to users」Authority.

Export

You can export portfolio data by following the steps below.

  1. Open the Portfolio Admin screen as described in Resister the portfolio.

  2. On the left side of the screen, you will see the organization for which you have set up permissions for the Portfolio. Select an organization and click on it.

  3. The following screen will appear on the right side of the screen Select a portfolio.

  4. Click on the "export" button to display the export form.
    You can select the users to be exported from either "all searched results" or "checkbox"

  5. Select whether to include the file and click "Generate the export file" to export the CSV.

Import

You can import portfolio data by following the steps below.

  1. Open the Portfolio Admin screen as described in Resister the portfolio.

  2. On the left side of the screen, you will see the organization for which you have set up permissions for the Portfolio. Select an organization and click on it.

  3. The following screen will appear on the right side of the screen Select a portfolio.

  4. Click on the "import" button to display the export form.

  5. Upload a CSV or a ZIP file containing a CSV and click the "Register" button to import.

The import function will only update fields that the adviser can edit from the screen. Student input fields will not be updated. Fields defined in the portfolio XML as student input fields can be temporarily changed to adviser input fields, which can then be updated by the import.
Only the columns contained in the CSV will be updated during import. By deleting columns that do not need to be updated and importing them, you can prevent accidental overwriting.
WebClass profile data can be displayed in the portfolio by using XML, but this data is not included in the import process and can be updated by the WebClass system administrator via CSV from the user administration screen.
